Our Technology team is the backbone of the business, building and maintaining the information technology infrastructure that support Coles Group. About the Role
Are you a detail‑driven PMO professional with a passion for enabling effective portfolio management and driving data‑led decision making? We’re looking for a Project Analyst to play a critical role in governing and optimising our PMO tools and processes, leading PPM strategy, automation initiatives, and ensuring high‑quality data across our delivery landscape.
As the Project Analyst, you will be responsible for the ongoing governance, optimisation, and support of our PMO tools—primarily the PPM Clarity platform. Your work will directly enable efficient planning, prioritisation, and reporting across the project and portfolio ecosystem.
You will partner with project teams, senior leaders, vendors, and PMO stakeholders to ensure our systems, processes, and reporting frameworks operate seamlessly. This role is essential in enabling strong portfolio insights, operational excellence, and continuous improvement across the PMO.
Key Responsibilities
PPM Clarity Tool Support
- Provide day‑to‑day administration and operational support for the Clarity PPM tool across projects, programs, and portfolios.
- Maintain high‑quality, accurate data in Clarity, including projects, investments, tasks, milestones, resources, financials, and custom attributes.
- Manage user access, roles, and permissions in alignment with governance standards.
- Troubleshoot and resolve system issues, escalating to technical teams or vendors as needed.
Project & Portfolio Data Management
- Ensure accurate setup and ongoing maintenance of project, program, and portfolio records.
- Support updates to schedules, resource allocations, actuals, forecasts, and financial information.
- Monitor compliance with required Clarity fields, lifecycle gates, and data completeness standards.
- Perform regular data validation and reconciliation to enable high‑quality portfolio reporting.
Reporting & Dashboards
- Produce standard and ad‑hoc Clarity reports, dashboards, and portlets.
- Support financial, resource, and portfolio‑level reporting for governance forums and senior leadership.
- Ensure reporting outputs are accurate, timely, and aligned to PMO and portfolio standards.
Process, Configuration & Continuous Improvement
- Support the configuration of Clarity attributes, workflows, templates, and enhancements within governance guidelines.
- Contribute to testing, release validation, and deployment activities for tool updates.
- Develop and maintain Clarity process documentation, training materials, and user guides.
- Identify opportunities to improve tool usability, efficiency, automation, and data quality.
Stakeholder & User Support
- Provide guidance and support to project managers, sponsors, and delivery teams to drive effective and consistent Clarity usage.
- Facilitate onboarding, training sessions, and knowledge‑sharing across the PMO and delivery teams.
- Act as a key liaison between business users, PMO/PPM teams, and technical support groups.
About you and your skills:
You will thrive in this role if you are highly organised, analytical, and passionate about improving PMO operations. The ideal candidate will bring:
- At least 5 years of IT experience within a PMO capability or consulting environment, using waterfall or agile delivery methods, and contributing to large program delivery.
- Strong interpersonal skills and leadership capability, with the ability to communicate effectively across peers, vendors, stakeholders, and senior executives.
- Proven experience managing relationships with senior leaders and influencing outcomes.
- Experience driving continuous improvement initiatives within PMO or PPM environments.
- Excellent analytical and problem‑solving skills, with a strong attention to detail.
- Ability to work independently with minimal supervision.
- Exceptional written and verbal communication skills.
