Our Coles Liquor team work across three leading brands (Liquorland, First Choice Liquor Market and Vintage Cellars), each with their own unique offering and customer base. With a network of more than 930 stores and ultra-convenient online sites, delivering on our commitment to provide accessible drink solutions for every occasion.

 

About the role

 

Are you highly organised, proactive, and passionate about supporting senior leaders? We’re looking for an experienced Executive Assistant to join our team and play a pivotal role in managing day-to-day operations, correspondence, and coordination on behalf of two of our senior leaders in Liquor; GM Commercial and GM Customer, Trade Planning & Loyalty.

You’ll also:

  • Plan, coordinate, and monitor a range of administrative activities, ensuring deadlines are met
  • Liaise with internal and external stakeholders to schedule meetings, share documents, and maintain governance
  • Organise meetings, interviews, events, and travel, including venues, catering, and accommodation
  • Manage documentation and ensure compliance with systems and processes
  • Track and reconcile expenses, adhering to policy and advising on updates
  • Identify and report instances of non-compliance, ensuring confidentiality at all times
  • Support stakeholder engagement through meetings, events, and communication

 

 

About you and your skills

 

Our ideal candidate is an exceptional communicator and organiser who thrives in a fast-paced environment. A positive, professional attitude is essential, along with the confidence to set boundaries and say ‘no’ when needed to protect our senior leaders’ time and priorities. You’ll bring experience in coordinating events and a collaborative mindset, knowing when to delegate to ensure our business areas, senior leaders, and their teams are set up for success. Adaptability is key - being comfortable with change and ambiguity will help you excel in this dynamic role.

 

You’ll also ideally have:

  • Previous experience as an Executive Assistant, ideally within a large and complex organisation
  • Strong planning and organisational skills, with the ability to manage multiple priorities under pressure and at pace
  • Excellent written and verbal communication skills, adaptable to different audiences
  • High-level computer literacy, including Microsoft Office and corporate systems
  • A proactive approach to problem-solving and a commitment to confidentiality
  • Experience coordinating events, meetings, and travel logistics
